Policy Services Administrator

The primary focus of the Policy Service Administrator is to ensure service levels to advisors are maintained and servicing all in-force life insurance policies, including the processing of all changes submitted by an advisor.

Key Responsibilities:

  • Assume ownership of assigned files, including recognizing any urgencies and assisting in the resolution of problems that may prevent a file from moving through the process as quickly as possible and understanding the downstream impact on reporting and commissions

  • Anticipate the needs of advisors and follow established processes for informing advisors of important details related to policy changes

  • Act as the key resource and contact for all insurance carriers with respect to in force policies

  • Responsible for relating information from insurance carriers to the servicing advisor

  • Ensure PPI service standards are maintained by ensuring all changes to existing policies are accurate, processed in a compliant and timely manner, submitted to the appropriate carrier and recorded in WealthServ as per PPI guidelines

  • Respond to inquiries from servicing advisors and insurance carriers

  • Ensure that servicing advisors are updated regularly on current status

  • Follow up on all outstanding requirements for policy changes

  • Follow up with insurance carriers as needed to ensure the requested changes are processed in a timely manner

  • Ensure all conversions requiring new policy applications are processed appropriately and according to established procedures

  • Additional responsibilities, duties and special projects as identified

  • Engage in actions that encourage, reflect and align with PPI’s ESG (Environmental, Social and Governance) commitments to our Advisors, their clients and our employees

Education, Experience and Skills:

  • A minimum of 2 years' experience in the insurance industry with an emphasis on policy service processes

  • Industry designation(s) (FLMI, ACS, AIAA) desirable

  • Knowledge of life insurance terminology and products preferred

  • Superior organizational and time management skills with proven ability to handle high volumes of work and tight deadlines

  • Proven accuracy, attention to detail and data entry skills

  • Excellent written and verbal communication skills

  • Strong interpersonal skills with a demonstrated ability to develop and maintain relationships and work within a team environment

  • Ability to represent self, office and organization in a professional, positive manner at all times

  • Ability to handle sensitive and confidential information in a professional manner

  • Knowledge of WealthServ, Microsoft Office programs; Outlook, Word, Excel and PowerPoint in particular

  • Bilingualism in English and French considered an asset
