What you’ll accomplish with us
As an Administrative Assistant, Legal Services, Corporate Secretariat and Governance, you’ll be at the core of our mission. Here are the main responsibilities:
Provide administrative support to two managers, including calendar and inbox management.
Deliver administrative support to the Corporate and Transactional Affairs team in handling various requests, including document management for transactional files and corporate secretariat matters.
Work closely with the Legal Services administrative assistants to ensure effective coordination of administrative support.
Ensure the preparation, review, and translation of various documents (texts, contracts, correspondence, presentations), including the distribution of meeting notices.
Manage Legal Services files, including file opening, filing, follow-ups, invoice processing, expense report management, and the preparation of reports, including budget tracking reports.
Coordinate team logistics, including business travel arrangements, team meetings, and group training sessions.

We’re looking for someone who:
Is known for their strong knowledge of the Microsoft Office suite, particularly Outlook, Word, Excel, and PowerPoint, as well as their ability to navigate various technological environments and their desire to continuously learn and deepen their expertise.
Stands out for their effective priority management and their ability to handle multiple files simultaneously in a fast-paced and constantly evolving environment.
Demonstrates a high level of proactivity, a solution-oriented mindset, along with flexibility and openness to change.
Is recognized for their autonomy, resourcefulness, positive attitude, and strong collaborative spirit
Has five (5) years of relevant experience as well as a diploma in office administration (DEP) or an equivalent qualification.
Intermediate level of proficiency in French and English, as the role requires reading and drafting documentation in English, as well as participating in virtual meetings with administrative assistants based in the United States on a daily basis.
