To maintain PPI’s exacting level of service, we are looking for a Human Resources Administrator to join our Toronto team.
Human Resources Administrator
The Human Resources Administrator is responsible for providing support to the PPI Human Resources team in the areas of recruitment, onboarding, employee changes, Workday updates and reporting and employee development.
What you will do:
Act as point of contact for employees regarding Human Resources related matters; redirecting questions as appropriate.
Manage the HR general mailbox and respond to or redirect employee inquiries as appropriate.
Support recruitment and onboarding processes including:
Set up job opportunities in the HR management system and post jobs internally on the Employee Portal as well as external job boards.
Work with assigned HR recruiter and hiring manager on recruitment process activities including applicant tracking, pre-screening, background checks and offer letter preparation.
Assist new employees with onboarding related inquiries.
Liaise with internal departments to complete onboarding process such as IT set up notification, directory updates, Learning Portal access, email distribution lists, etc.).
Develop and maintain preferred external recruiting agencies list.
Manage the HR section of Employee Portal to ensure information is up to date and relevant.
Assign new employee training via internal Learning Portal and ensure user lists with external service provider are current. Follow up with employees, as required, to ensure training is completed within specified timeframe.
Support HR team in the preparation of documentation related to employee matters.
Act as point of contact regarding all HR management system changes/updates related to reporting structure, titles, cost centers, etc., maintaining the highest level of data integrity, timeliness and confidentiality.
Prepare HR reports (monthly FTE, recruitment activity, turnover, etc.).
Assist in updating and maintaining job descriptions for all roles within the organization, requesting information and materials as required.
Manage PPI’s anniversary program including monthly portal announcements, manager notifications, employee inquiries.
Provide support to the Facilities Management area as assigned.
Participate in the research, development and implementation of HR policies and programs.
Develop a thorough understanding of PPI’s services, businesses and industry.
Consistently exercise discretion in managing correspondence, information and all matters of confidentiality.

You have outstanding organizational skills with the ability to manage deadlines and work to tight schedules while maintaining excellent attention to detail and a high level of accuracy.
What we are looking for:
Minimum 3 years’ administrative experience, preferably in a Human Resources capacity
University education and specialization in Human Resources preferred
General knowledge of employment laws and practices
Excellent written and verbal communication skills
Advanced knowledge and experience with Microsoft Word, Excel, PowerPoint and Outlook in particular; previous experience with Workday preferred
Demonstrated ability to handle confidential information in a professional manner
Previous experience in an insurance and/or financial services environment preferred
Bilingual (English/French) preferred
