The VP of Administration will play a critical role in leading the operations of the organization working closely with the COO. The vast scope of responsibilities includes everything in the contract lifecycle from the processing of new contracts through to contract cancellation.

In this role, the VP will be expected to meet or exceed SLAs for customer service, quality, accuracy, speed, productivity, and efficiency for each department. The scope for this role includes all administrative systems and all geographic locations, notably Austin and Albuquerque. Claims handling is out-of-scope for this role.   • Oversee the Customer Service / Cancellations Department of ~15 reps, the Business Processing Department (including Casualty Administration) of ~45 processors, the Programs and Rates Department of ~10 reps, the Dealer Billing Department and the Facilities Services Department (as of Q4 2021)
  • Monitor performance across KPIs for customer service, quality, accuracy, speed, efficiency, etc. and deliver upon SLAs; operate within budget
  • Ensure that operational processes are streamlined and issues are resolved expeditiously (including escalated calls and dealer/agent emergencies)
  • Ensure team goals are met and all departmental standards are exceeded
  • Interact with other departments to provide effective and consistent administration according to corporate policies and dealer/agent/underwriter requirements
  • Plan, direct, test and implement procedural, organizational and technological solutions to meet administration demands
  • Select, manage and develop subordinates to ensure maximum personnel contribution
  • Appraise performance and delegate authority and responsibility to maximize departmental efficiency
  • Audit weekly and monthly dealer statements/bills and agent commission statements/payments, taking corrective action when necessary
  • Approve payments associated with programs/rates, commissions, and reinsurance
  • Collaborate with Sales to structure retro/reinsurance/retained pricing options and programs
  • Act as consultant and liaison in the development, maintenance, and training/servicing of existing accounts and the installation of new accounts
  • Assist in the identification and implementation of programs designed to improve account performance
  • Liaise with Sales, agents, underwriters, banks, and other stakeholders as required
  • Represent the company both internally and externally as needed
  • Perform special projects and other duties as assigned


  • Bachelor’s Degree in business administration or related area; Master’s Degree desirable
  • At least ten to fifteen years of related experience leading back-office administrative functions
  • Track record of achieving personal goals, leading projects, and achieving high levels of team performance
  • Lean Six Sigma (LSS) or other process improvement certification a plus
  • Project Management Professional (PMP) or other project management certification a plus
