Job Purpose
Assist the Senior Program and Platform Manager with the day-to-day platform operations of all programs. Ensure advisor and client experience and operational processes are delivered as expected. This position is to ensure all daily, monthly, and quarterly operational and advisor support functions and processes are operating in a timely, efficient manner and to ensure that the platforms and support services deliver the expected advisor and client experience. This will involve close communication with advisors and various partners including, but not limited to, Compliance, Operations, Trading, Practice Management, and third-party vendors.
Main Duties & Responsibilities
Platform Operations & Oversight [25%]
• Execute assigned day-to-day operations of the UMA, legacy SMA, PM and Fee-Based programs, including coordination among various departments such as operations, IT, compliance and vendors.
• Continuously monitor and evaluate the effectiveness and efficiency of the platforms and recommend necessary adjustments to optimize their performance.
• Identify gaps in process and controls and recommend solutions; explore AI tools for potential low-cost automation solutions.
• Engage with vendors and IT to stay up to date on new technological features that may impact work processes.
• Work with NBIN on Elite UMA program management including new account opening, new model set up and overall account trading and administration.
• Work with SS&C on trading, reporting and account administration for legacy SMA programs.
• Participate in quality assurance activities for advisor and client communications including quarterly investment reports.
• Track and analyze platform metrics, including sales, invoicing, and profitability, and generate other management reporting to help the team make data-driven decisions and track KPIs.
• Recommend improvements to program and platform features and support based on advisor feedback.
• Correct trading errors in a timely manner to reduce firm risk.
Advisor & Client Support [50%]
• Assist with advisor program and platform support activities including program training, inquiries, special operational requests and issue escalations.
• Contribute to the Elite White Glove Onboarding Service assisting advisors with bulk account transitions to the Elite UMA Program
• Assist with the ongoing support content, including webinars, factsheets, advisor guides, and user manuals to ensure they are up-to-date, accurate, and consistent in quality and frequency.
• Ensure support material for all the firm’s investment platforms are up to date and posted on Wealthlink.
• Participate in Dealer DMS meetings, Summit breakouts, etc.
Cash & Trading Oversight [25%]
• Legacy SMA cash raising/withdrawal requests.
• Monitor for cash raising needs from UMA accounts.
• UMA RRIF payment schedule monitoring.
• UMA Free cash balance to be invested monitoring (<3%).
• UMA Cash drift monitoring.
• Execute the proxy suppression process for managed accounts with Broadridge
Qualifications
• Minimum of 5 years product or program management experience and a keen understanding of the Canadian wealth management industry.
• The aptitude and ability to deal with issues at a high strategy level as well as at a detailed, ‘hands-on’, production level.
• Process and service oriented with the ability to establish a strong efficiency and client service culture.
• Excellent verbal, written communication skills.
• Strong analytical/ problem-solving skills and an ability to provide clear and concise direction in a positive and effective manner.
• Demonstrated leadership skills with superior ability to make things happen through the use of impact and influence.
• The ability to work both as part of a team and independently to complete tasks, including working over and above a regular workday as required.
