Workplace Services Attendant (WPS)

Under the supervision of the assistant director, the WPA is responsible for delivering various daily services to employees and departments to ensure an exceptional experience that meets established standards. The services offered are administrative or manual in nature and cover three dimensions: customer service (events, the Zone, and supplier follow-up), "floor" activities (shipping, installation, physical security), and document-related activities (mail, imaging, inventory management).

Main responsibilities
The holder must perform several of the tasks below, which may vary according to changing business needs.

Customer service

• Handle internal requests virtually, by phone, or in person related to material resources and ensure transfer to the appropriate resource if necessary.
• Processes requests for access cards, parking, as well as lost, stolen, or defective cards
• Makes room reservations and carries out various activities necessary for handling event requests
• Identifies service issues related to suppliers and escalates to their superior

"Floor" activities
• Processes requests related to facility security, damage in our facilities, etc...
• Sets up and dismantles rooms as needed by internal clients
• Carries out various manual maintenance and installation tasks
• Prepares shipments for carriers

Document management
• Receives, sorts, and distributes documents/packages
• Receives, scans, and processes incoming documents according to established standards with business sectors and tools in place
• Processes requests related to storage, extraction, and destruction of documents in compliance with laws and standards in force

General
• Collaborates with team members to support them during peak periods
• Maintains procedures related to tasks up to date
• Suggests improvements to optimize the team's work
• Contributes to a positive and stimulating work environment

Profile sought

• High school diploma
• 2 to 3 years of relevant experience in similar roles
• MS Office Suite knowledge
• Openness to learning and change
• Good ability to work under pressure
• Autonomy, resourcefulness, initiative, in problem-solving mode
• Team spirit and collaboration with different sectors (e.g. IT, HR)
• Professional attitude, listening, and empathy

Specifics
• 100% in-person position
• May involve lifting heavy objects (physical effort)
• Schedule based on business needs, normally 7:30 am to 4:30 pm

• The typical hiring range for that position is from 40 000 to 55 000 CAD annually; the base pay offered may vary depending on job-related knowledge, skills, years of experience and internal equity.
