Key responsibilities include:

  • Acts as a central point of contact for the Vice Président administrative needs, including calendar management, supporting travel arrangements, prioritize and determine actions for inquiries, requests and correspondence, weekly minutes for leadership team as required;
  • Multi-tasks and prioritizes shifting priorities, based on daily and weekly requirements;
  • Apply judgment and sound business acumen based on understanding of group objectives, processes and timeframes
  • Captures various actions arising out of internal meetings and supports documentation and follow-ups to track next steps;
  • Anticipates, prepares and organizes materials needed for conferences, meetings etc.; tracks upcoming board and investment committee meetings and gathers and prepares briefing information for the Vice Président and the MD;
  • Produces presentation decks, materials, and other documents as needed, utilizing MS Word, Excel, PowerPoint
  • Liaises with other internal teams to ensure coordination of meetings, reporting and related activities;
  • Recommends best practices on managing the administrative and operational aspects, and doesn’t hesitate to revise ways of doing things;
  • Develops and maintains files, databases and systems for processing confidential information;
  • Prepare Virtual event management for entire department. Coordination of presenters (both internal and external resources), dry-runs, IT related questions and concerns, animation, secures live translation resources and suggests follow-up feedback. Ensures events are recorded (or not) and confidentiality measures respected.
  • Maintaining the VP’s network (e.g., LinkedIn account, contact database);
  • Providing light support to the Talent and Finance functions (e.g., onboarding new employees, processing expense reports);
  • Translating between English and French as needed (e.g., our website, external-facing documentation)
  • Work in close partnership with the Capital Market Senior management team

WHAT WE ARE LOOKING FOR

  • Diploma in office technology, or equivalent experience. Bachelor’s degree an asset.
  • At least five (5) years of experience as Administrative Assistant/ Executive Assistant supporting senior management in a dynamic, professional, and complex organization
  • Are comfortable with ambiguity and possess good judgment - you’ll be empowered to problem-solve with little guidance;
  • Strong professionalism and judgement when dealing with multiple stakeholders;
  • Are extremely organized, proactive, and detail-oriented, with an ability to anticipate needs/challenges and act on them accordingly;
  • Demonstrate integrity, the ability to maintain the utmost confidentiality and the capacity to manage many situations that will arise daily.
  • Strong skills in Microsoft Suite (Word, Excel, Outlook, PowerPoint) programs, social media tools and a willingness to learn new technologie
  • Ability to undertake projects and produce timely, quality results;
  • Possess excellent written and oral communication skills in both English and French;
  • Excellent client service approach with high degree of proactivity and responsiveness
  • Develop trust with employees, executives, colleagues
  • Are based in Montreal or Quebec and open to a hybrid work model
  • Experience working in a financial institution is an asset;
