Administrative support/full time, permanent/100% presence at the Gloucester office

We are several agencies across the province and our common goal is to be client- and sales-force-focused, providing comprehensive and coordinated support for their requests. Our role is essential for the efficient conduct of agency activities by supporting the management team in the development of the agency and in fulfilling the obligations of the Career network. Reporting to the Assistant Team Management Director, you will be in charge of activities that contribute to the life of the agency in a positive and rewarding way.

We are looking for an Agency Support Agent who will work at the heart of the agency and deal efficiently and professionally with clients, the sales force and members of the Career Support and Service Centre.

Customer service and sales force:

- Receive and support clients (on site or by phone)

- Ensure good communication and collaboration with the sales force and forward requests, if necessary, to the specialties of the Career Support and Service Centre team

- Provide support to the sales force in relation to requests:

  • For agent changes

  • For transfers in

  • For Sales force changes

  • For compensation (explanations on how requests work)

  • For career development (explanations on how requests work)

  • For the entry of administrative expenses

  • To order personalized products

  • Contribute to contracting and onboarding activities and the integration of new advisors as well as advisor departures

  • Promote the use of electronic tools on an ongoing basis

  • Carry out any other tasks and ad hoc mandates requested by the Client Support and Services and sales force management

- Support the branch manager in their role with respect to their obligations and the development of the agency

  • With agency meetings

  • With communication and implementation of new administrative processes within the agency

  • With organization of agency activities

  • With agenda management and appointment confirmations

  • In compiling data from Friday reports

  • In obtaining resumes

  • In writing letters, as needed

  • Daily communication with the branch manager regarding the responsibilities involved in the collaborative plan

  • Document Cabinet tasks for the sales force

  • Update the agency Register and its related activities

  • Provide administrative support for the sale of clientele

  • Contribute to the management of the agency’s premises, mail and office supplies

Desired profile

  • Vocational diploma (DEP) in secretarial studies, Attestation of college studies in office automation or any related field

  • Excellent command of French and English (oral and written) for interaction with French- and English-speaking advisors

  • Excellent customer service skills and attentive to the needs and expectations of clients and the sales force       

  • Good communication and interpersonal skills

  • Proactive and motivated person

  • Team spirit

  • Great adaptability to change

  • Ability to work independently

Details:

  • Onsite position

  • Work schedule - 35 hrs/week, Monday to Friday, 8:30 am to 4:30 pm

  • Clientele: Clients and sales force
