iA Gestion de Placements has a position for you.  We are looking for an Administrative Assistant to support our Investment Operations, Compliance, Risk Management and Middle Office teams.  In addition to acting as a resource person to these teams, you will be responsible for:


·         Act as a central point of contact for the needs of employees on site in Toronto, in order to enhance the current corporate offering.

·         Manage the welcome and integration of team members on their first arrival in Toronto (office visits, lunch arrangements, etc.). 

·         Help coordinate and organize meetings, lunches, food deliveries, events and conferences for teams on site in Toronto.

·         Ensure the planning and reservation of rooms for certain meetings

·         Ensure the quality of certain documents - Word, Excel, Powerpoint, etc.

·         Produce reports or set up report templates

·         Liaise with internal teams to plan meetings

·         Support other investment teams as required

·         Be proactive and meticulous, enjoy taking care of people.

·         We're looking for a friendly, professional on-site coordinator to help us with various tasks.

·         He/she is responsible for receiving and dispatching parcels, coordinating dinners and meetings on site, and is our "eye on the ground" for IT issues and facilities management (e.g. if there are problems with coffee or other machines, a lack of chairs, a concern with a room, etc.).

·         Provide administrative support to other executive and administrative assistants, such as helping with expense accounts they have, booking travel and managing access requests for employees who don't have an assigned administrative assistant (e.g., under VPs), as well as helping to maintain team distribution lists and administrative documents related to team management as needed.

·         Be able to be flexible, even during lunch hours, if an event, dinner or customers are on site.

·         The ideal candidate will have excellent communication skills, be able to work independently and as part of a team, and have a strong attention to detail.





·         Degree in office technology or equivalent experience. Undergraduate degree an asset.

·         At least five (5) years experience as an administrative or executive assistant.

·         Strong skills in Microsoft Suite programs (Word, Excel, Outlook, PowerPoint), social media tools and willingness to learn new technologies

·         Good English and French language skills, both oral and written, due to frequent interaction with English and French-speaking colleagues and customers across Canada
