A great and challenging career opportunity is now open to you at one of Canada's largest financial groups! The Information Technology sector is looking for a new Executive Assistant, to support its vice-president and his close advisors.

Reporting directly to the Vice-President and Chief Information Officer, as the Executive Assistant, you will be responsible for:

  • Managing inbound and outbound communications
  • Organizing and filing documents
  • Managing the Vice-President’s email, calendar and coordinating his general activities
  • Preparing drafts of administrative communications, revising and proofreading texts and presentations, both in English and French
  • Organizing meetings and events, both logistically and technically
  • Carrying out the administrative and accounting management of the Vice-President's office (invoices, contracts, expense reports, etc.)
  • Designing and updating various administrative and financial reports
  • Planning and booking business trips
  • Working closely with the other administrative assistants within the company and particularly those of the IT sector in order to coordinate certain tasks and to manage some cross-sector initiatives
  • Taking charge of various special projects and ad hoc administrative responsibilities
  • Anticipating the needs of the Vice-President and developing tools to increase the efficiency of his office

Required profile

  • College diploma (DEC) in office technology or business administration or equivalent
  • Five (5) years of relevant experience in a senior-level administrative assistant, executive office management position or equivalent
  • Excellent interpersonal, collaborative and communication skills
  • Efficient, reliable, self-directed, and demonstrates the highest level of judgment with respect to the privileged information to which he/she will have access
  • Structured, organized, and able to deal with tight deadlines and multiple conflicting priorities
  • Fluency in English and French, both written and spoken - bilingualism will be considered an important asset
  • Proficiency using the following Microsoft Office tools: Word, Outlook, PowerPoint
  • Excellent knowledge of the following Microsoft Office tools: Excel, SharePoint, Teams, OneNote
