Description

As a member of the National Sales – Ontario team with iA Securities, the Receptionist, will primarily be responsible for managing all incoming calls and inquiries that come into the reception desk with an emphasis on service and quality. This role plays an integral part towards our goal of providing IA Securities and their clients with industry leading service.
 

Key Accountabilities:

  • Welcoming visitors by greeting them, in person or on the telephone;
    Answering or referring inquiries to the correct departments, advisor office or staff;

  • Directing visitors by maintaining employee and department directories;

  • Booking boardrooms and managing boardroom calendars;

  • Managing/ ordering lunches when required;

  • Sending and receiving couriers;

  • Sorting and distributing daily mail and postage machine;

  • Maintaining log books;

  • Daily cheque deposits, US cheque deposits will need to be dropped off so access to a vehicle is requried;

  • Ordering and monitoring office supplies;

  • Tidying Kitchen, filling coffee/milk orders;

  • Maintaining appearance of reception area & boardrooms

  • Prepare monthly and quarterly revenue and asset reports for the Sales Management Team

  • Assist in gathering and analyzing data from internal systems

  • Exercise excellent judgement and decision making skills when dealing with all issues at the reception desk which following proper processes and procedures

  • Other branch duties as required.

Qualifications:

  • The successful candidate will possess a minimum of 1 to 2 years of progressive administrative experience in a professional environment.

  • Strong written and verbal communication skills

  • Good working knowledge of various computer and web applications, including Microsoft Office

  • Excellent working knowledge of Excel would be considered an asset

  • Must be able to project a professional image and easily manage a variety of tasks and responsibilities within required deadlines

  • Experience in the Financial Services Industry an asset

  • Data Entry skills - an asset

  • Post-secondary education an asset

  • Excellent time management skills

  • Must have access to a personal vehicle

  • Superior Organization skills and dedication to completing tasks in a timely manner
