Reporting to the Manager, Business Operations, Training & Specialized Support, the KMS Administrator will be responsible for the configuration, administration and maintenance of the Knowledge Management System (KMS) on the MS SharePoint platform. The person will initially focus on the migration of the KMS application unto the MS SharePoint platform serving as an analyst to assist the business in gathering and defining requirements and will then work with the IT team in Quebec to configure SharePoint to meet these requirements.
The KMS Administrator will also be expected to directly participate in the development and implementation of a training program meant to orient, train and enable users to effective utilize KMS in the MS Sharepoint platform. Longer term, as MS Sharepoint is rolled out to other business units within IAC, we expect this role to serve as a resource to provide some support to these users. As well, there may be an opportunity for the role to participate in the eventual roll out of KMS on MS Sharepoint to affiliates within IA Wealth.

•Responsible for day to day administration of content related to KMS such as reviewing and editing
•Solicit feedback, conduct research, confirm documentation to ensure accuracy and consistency of policy and procedures across company divisions (as well as across industry) are represented within KMS
•Analyze, plan, and organize KMS content to meet the needs of users to ensure content is clear, readable and understandable for both the department and other non-departmental personnel
•Follow the standards set for the Training and Development department, adhering to style guides and formatting standards to ensure content is organized, understandable, easy to access and logically structured
•Edit and proof read existing documentation written by others, analyzing the purpose of the written content to ensure it meets the needs of the end user
•Identify opportunities to improve user satisfaction
•Assist in gathering and defining requirements and communicating such to MS SharePoint developers for implementation
•Configure Metadata and set up SharePoint enhanced search functionality making content and documents easy to search; validate the synonyms and key words to be used for the search functions and creation of managed metadata properties, result sources and search refiners.
•Work with business users of SharePoint and liaise with CIP team members to implement and migrate the KMS application on to MS SharePoint; including all aspects associated with Portal configuration, Records Management within a Documentation Center and use of Collaborative Sites
•Provide technical support for SharePoint users within the line of business or to potential future users of SharePoint facilities
•Assist the training department in the delivery of informational sessions on how to use SharePoint
•Maintain user permissions of site users
•Act as the main point of contact for KMS migration to MS Sharepoint with the IT team in Quebec to ensure uniformity in governance and good practice
•Work closely also with the record management team for all topics related to the documentation center (i.e. apply classification plan, execute audit, manage security, etc.)


•Experience in the development, implementation and maintenance of applications using the MS SharePoint platform preferred
•Solid knowledge of MS SharePoint versions 2010/2013/2016,
•Bachelors’ Degree in Information Technology, Computer Science, or related field highly preferred.
•Training or experience in Technical Writing or other related disciplines is an asset
•Previous experience in a similar role within a large organization preferred
•Work experience within financial services or within a customer service or processing/administrator role preferred
•Proficient in the use of Microsoft Office Suite; i.e. MS Word, Excel, PowerPoint is required
•Strong problem-solving, analytical and technical skills.
•French language skills preferred
•Demonstrates specific knowledge of the functions and features of Microsoft SharePoint Server 2010; previous knowledge and/or experience with MS SharePoint 2016 and cloud solutions preferred
•Keen understanding of SharePoint features such as Lists, Libraries, Pages and Sites including a strong ability to modify, create and configure lists and libraries, knowing when to deploy the right solution to meet the needs of end users
•Solid understanding of how to manage site content and structure including site settings pertaining to Navigation, Page Layouts and Site Templates.
•Possesses ability to think creatively to devise customization and fully utilize MS SharePoint features to deliver a rich experience for the end user
•Familiar with website layouts, templates and html
•Able to explain technical terminology to non technical people in a way they can understand
•Demonstrated ability to work and conduct research independently
•Excellent time management skills and ability to multi-task
