Administration / Full Time, permanent / remote / bilingual
We are looking for a Bilingual Administrative Assistant to join our team and grow their career in the investment industry. Reporting to the Director, Wealth Advice Centre, the Administrative Assistant will be responsible for providing support to branch Investment Advisors and Associates. The Branch is a team of corporate Investment Advisors servicing clients across Canada.
The Administrative Assistant manages a critical compliance and control function within the Branch as well as administrative and client service support to Branch advisors and their clients.
Key accountabilities include:
Ensuring accounts are accurately documented and compliant with regulatory requirements
Maintaining client files and information
Following up with clients on missing documentation required as per the industry regulatory requirements
Escalating issues to the Director when appropriate
Reviewing processes to improve administrative efficiencies
Proactively establishing, developing, and maintaining strong client relationships through providing timely service
Proactively reaching out to clients who are new to the branch via phone and email
Ensuring clients’ information is accurate and up to date
Participating in special projects, as assigned by the Director of the Advice Centre
Participating actively in team learning development activities and team performance achievements
Building effective working relationships across the team and with various business line and corporate function contacts
Maintaining a high level of customer service
Processing monthly reports and transfer requests from internal partners
Encouraging the generation of new ideas and approaches
Actively sharing knowledge and experience to enhance the development of all team members
Qualifications
Good verbal and written language skills in both English and French owing to frequent interaction with English- and French-speaking colleagues and clients across Canada
Willing to work until 6pm EST
Must obtain the Canadian Securities Course (CSC) within a year of hiring.
Proven record of good customer service
Excellent oral and written communication skills
Time management skills and the ability to manage multiple competing priorities
Strong knowledge of Microsoft Office Excel
Willing to learn and grow within the company
