As an Event Operations and Services Coordinator, you will play a key role in ensuring the effective execution of processes, timelines, and service delivery before, during, and after events.

Working closely with Event Advisors and a variety of internal and external partners, you will coordinate registrations, administer event platforms, and support multiple logistical and operational activities. You will also be responsible for managing and analyzing event-related data while ensuring the accuracy, quality, and compliance of information.

What You Will Accomplish With Us

As an Event Operations and Services Coordinator, you will be at the heart of our mission. Key responsibilities include:

  • Coordinate the administrative, operational, and logistical activities required for the successful delivery of corporate events.
  • Act as the primary resource for event platforms, registrations, and event operations while coordinating invitations, confirmations, and participant communications.
  • Administer and optimize the technology platforms used to support event management activities.
  • Ensure the integrity, quality, and accuracy of event data and produce participation reports, satisfaction results, and performance indicators.
  • Coordinate follow-ups with internal partners, vendors, and collaborators to ensure deadlines are met and deliverables are completed to expected standards.
  • Manage corporate suites and subscription-related activities according to established priorities and maintain related tracking tools.
  • Support the planning and logistical coordination of selected events, including vendor sourcing, venue coordination, promotional items, and operational requirements.
  • Identify operational risks, resolve issues, and recommend improvements to processes, tools, and participant experience.

 

What Could Help You Succeed in This Role

We are looking for someone who:

  • Holds a diploma in a relevant discipline or possesses equivalent experience that has provided the skills required for the role.
  • Has experience in coordination, administration, operational support, or customer service.
  • Demonstrates advanced proficiency with Excel and is comfortable using various technology tools and systems.
  • Is recognized for their attention to detail, organizational skills, and commitment to quality, accuracy, and information integrity.
  • Can effectively manage multiple priorities and deadlines in a fast-paced environment.
  • Takes a proactive, service-oriented approach to problem-solving and continuous process improvement while demonstrating sound judgment and analytical thinking.
  • Works effectively with multiple stakeholders and has a strong interest in leveraging artificial intelligence tools to improve efficiency and the quality of deliverables.
  • Has an intermediate level of English proficiency, as the incumbent will be required to participate in events and provide operational support to English-speaking participants, vendors, and business partners across Canada on an occasional basis.
