As a Consultant Support Associate, you will play a critical role in optimizing the efficiency of the team by handling administrative, operational, and client service tasks. This role allows consultants to focus on client relationships and financial advice while ensuring that processes run smoothly and efficiently.

By managing client documentation, follow-ups, and operational workflows, the Consultant Support Associate enhances the client experience, improves team productivity, and supports business growth.

This position requires strong organizational skills, attention to detail, and a proactive mindset to support consultants in delivering a high-quality, personalized service to plan participants.

What you’ll accomplish with us

As a Consultant Support Associate, you’ll be at the core of our mission. Here are the main responsibilities:

Administrative Support to Consultants

  • Prepare and organize client‑facing documentation, reports, and meeting materials for consultants.
  • Provide support with account openings, asset transfers, investment changes, and beneficiary updates.
  • Ensure timely follow‑up on action items after meetings, including follow‑ups with participants.
  • Maintain accurate and up‑to‑date client records in customer relationship management (CRM) and financial planning systems.
  • Handle complex or special cases and ensure follow‑up within established deadlines, within the scope of your role.
  • Process participant requests in administrative systems.
  • Respond to participant inquiries and provide information based on requests from advisors.

Client Interaction and Service Support

  • Act as a point of contact for participant requests by responding to routine inquiries (e.g., document requests, contribution updates, etc.).
  • Pre‑fill various forms and send them to participants. (You will also assist with quality control and the distribution of contract registration documents prepared by consultants.)
  • Communicate with participants using pre‑approved email templates.
  • Support consultants in their personalized outreach efforts by ensuring timely communication with participants.

Operational Efficiency and Process Improvement

  • Work closely with internal teams (e.g., Compliance and Operations) to ensure the smooth execution of financial transactions.
  • Identify opportunities to streamline workflows and improve service delivery efficiency.
  • Participate in tracking and reporting on consultant performance by ensuring the accuracy of client engagement documentation.
  • Manage special projects for the team.
  • Actively participate in weekly team meetings and propose improvement ideas.

Compliance and Regulatory Support

  • Ensure that all client‑facing documentation complies with regulatory and compliance requirements.
  • Support consultants in applying best practices related to data privacy and security when handling participants’ personal information.
  • Support internal audits and compliance teams’ documentation requests.

  • Is known for their strong organizational and administrative skills, with the ability to manage multiple priorities efficiently and rigorously.
  • Stands out for their collaborative mindset, team spirit, and ease in building professional relationships with consultants, clients, and internal partners.
  • Demonstrates strong communication and customer service skills, supported by experience in administrative and client support roles.
  • Is recognized for their attention to detail and accuracy when managing client records, documentation, and financial or administrative transactions.
  • Has 2+ years of experience in financial services, client service, or administrative support roles; experience with group retirement plans, wealth management, insurance, or Salesforce is considered an asset.
  • Advanced level of English and French proficiency, as the role involves written and verbal communications with consultants, internal teams, and clients across Canada on a regular basis in both languages.

The typical hiring range for this position is between $47 544 and $68 329 CAD per year; the base salary offered may vary depending on knowledge, skills, years of experience, and internal equity related to the role.
