As an Administrative Assistant, you will play a key role within the IT Services Delivery – Transformation Program, Sales and Insurance Administration sector by supporting its administrative and operational activities.

What you will accomplish with us

As an Administrative Assistant, you will be at the heart of our mission. Here are the main responsibilities:

  • Manage calendars, phone calls, emails, and group activity schedules.

  • Plan and organize internal and external meetings.

  • Process expense claims, financial provisions, and invoice payments.

  • Produce various reports, including budget tracking, dashboards, and statistical reports.

  • Oversee procurement for the sector.

  • Validate consultants’ timesheets.

  • Support personnel movements (onboarding, departures, workstation setup, access, security, licenses, etc.).

  • Respond to various administrative support requests from team members.

  • Draft, revise, and proofread documents and PowerPoint presentations.

  • Coordinate and book business travel arrangements.

  • Collaborate closely with other assistants and sector managers.

What could accelerate your success in this role

We are looking for someone who:

  • Holds a vocational diploma in secretarial studies or any other relevant training.

  • Has 10 years of experience in administrative support or a similar role.

  • Is recognized for strong administrative rigor and organizational skills.

  • Stands out for the ability to manage multiple priorities simultaneously.

  • Demonstrates autonomy, initiative, and effective collaboration.

  • Has strong proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook).

  • Possesses excellent command of French, both spoken and written

  • Intermediate level of English, as the role involves collaborating with external suppliers, drafting documents and emails, conducting phone exchanges, and managing calendar entries with external suppliers on an occasional basis.
