What you will accomplish with us

As an Executive Assistant, you will be at the core of our mission. Here are the main responsibilities:

  • Providing strategic and confidential administrative support to senior leaders, including managing calendars, priorities, travel, and more;
  • Acting as the central point of contact for administrative needs within teams reporting to the Vice-Presidency;
  • Anticipating needs, managing priorities, and coordinating administrative, financial, and operational activities;
  • Supporting teams, coordinating stakeholders, and ensuring follow-ups on action items in collaboration with internal partners;
  • Planning and coordinating meetings, committees, and events, including preparation, logistics, documentation, and follow-ups;
  • Preparing and maintaining management tools and executive documents, drafting and revising communications, and managing information.

What could accelerate your success in this role

We are looking for someone who:

  • Holds a DEC in office administration, business administration, or an equivalent combination of education and experience;
  • Has a minimum of 3 to 5 years of experience in high-level administrative support;
  • Is known for strong organizational skills and the ability to effectively manage multiple priorities in a fast-paced, changing environment;
  • Demonstrates proficiency with Microsoft 365 tools and the ability to quickly learn new tools, including an interest in artificial intelligence;
  • Shows autonomy, proactivity, and sound judgment when handling sensitive and confidential matters;
  • Is recognized for professionalism, discretion, and the ability to collaborate with multiple stakeholders;
  • Has an intermediate level of English, as the role involves daily verbal and written interactions with senior leaders and English-only teams.
